Vivah Studio ("we", "us", "our") is a wedding photography, videography and portrait studio based at Gaya-Nawada Road (Near DCB Bank), Manpur, Gaya, Bihar — 823003, India. We operate the website vivahstudio.in and provide photography, videography, portrait and related services.

We take privacy seriously for a simple reason: our work involves your wedding, your family and your face. This policy explains what we collect, why, and what control you have over it.

2. Information we collect

Information you give us

• Contact details — name, phone number, WhatsApp number, email address and postal address
• Event details — wedding or event dates, venue names and locations, function schedules, guest counts
• Family and preference information — names of family members you want photographed, moments that matter to you, styling preferences
• Booking and payment records — proposals, invoices, payment confirmations and transaction references
• Correspondence — messages you send us by WhatsApp, email, phone or through the enquiry form on this site

Information collected automatically

• Basic technical information when you visit our website, such as browser type, device type and approximate location derived from your IP address
• Pages viewed and time spent, where analytics are enabled

3. Photographs and video

Photographs and video footage of you, your family and your guests are personal information, and we treat them as such. When you engage us, we create, process and store images and recordings from your event.

• We capture images and video only in connection with the services you have booked
• Your event gallery is private and accessible only through the link we share with you
• We do not sell your photographs to anyone, ever, and we do not license them to stock libraries
• We use selected images publicly — on our website, portfolio or social media — only with your separate consent

You may decline portfolio use without it affecting your booking, your pricing or anything else about the service you receive. You may also withdraw that permission later, and we will remove the images from our own channels within a reasonable period. Please note that content already shared or downloaded by others may continue to exist outside our control.

• To respond to enquiries and prepare proposals
• To plan, staff and deliver your booked services
• To edit, produce and deliver your photographs, films and albums
• To operate the Vivah App and deliver photographs to you and your guests
• To process bookings, issue invoices and maintain accounting records
• To administer Vivah Circle membership and its benefits
• To contact you about your booking, and — where you have agreed — about anniversaries, offers and studio news
• To comply with legal, tax and regulatory obligations
• To improve our services and our website

We do not use your personal information for automated decision-making that produces legal effects for you.

5. Your consent

We process your personal information on the basis of your consent, and to perform the contract for services you have booked with us. Where we rely on consent — for example, to use your photographs in our portfolio, or to send you marketing messages — you may withdraw it at any time by contacting us.

Withdrawing consent does not affect processing carried out before the withdrawal, and does not affect our ability to keep records we are legally required to retain.

6. The Vivah App and face recognition

The Vivah App delivers event photographs using face recognition, so each guest can find the images they appear in without scrolling through thousands of files. Because this involves facial data, we want to be explicit about how it works.

• A guest takes a selfie, which is matched against the faces detected in your event gallery
• The matching is used solely to show that guest their own photographs
• Facial data is used for delivery within your event only — never for identification outside it, never for advertising, and never shared with or sold to third parties
• Guests use the App voluntarily; anyone who prefers not to can simply request their photographs from you or from us directly

The App is provided through our technology partner's platform. Their processing is governed by their own privacy terms in addition to this policy. If you would like your facial data or your guests' facial data removed from the matching index, contact us and we will arrange it.

7. Who we share information with

We share personal information only where it is necessary, and only with:

• Our team and contracted crew — photographers, videographers, editors and data managers working on your event, all bound to confidentiality
• Service providers — cloud storage, gallery delivery and the Vivah App platform, album printers and framing partners
• Professional advisers — accountants and legal advisers, where required
• Authorities — where we are legally obliged to disclose information

We do not sell, rent or trade your personal information. We do not share your contact details with other businesses for their own marketing.

8. Cookies and website analytics

This website is a simple static site. It does not set advertising or tracking cookies of its own, and it does not build a profile of you.

Some third-party content may set cookies or record requests when it loads:

• Google Fonts — typefaces are loaded from Google's servers, which receives your IP address as part of that request
• Google Maps — the map embedded on our Contact page is served by Google and is subject to Google's privacy terms
• WhatsApp — clicking a WhatsApp link opens WhatsApp, where Meta's privacy terms apply

You can block cookies through your browser settings. Doing so will not stop you from using this website.

9. How we protect your data

• Event footage is backed up to multiple drives on location before the team leaves your venue
• Working files are stored on studio systems with restricted access
• Delivered galleries are private and accessed through unique links
• Team members and contracted crew are bound by confidentiality obligations
• Access to client records is limited to staff who need it to do their work

No method of storage or transmission is completely secure. While we take reasonable and appropriate measures to protect your information, we cannot guarantee absolute security. We strongly recommend you download and keep your own copy of your delivered media — no studio should be your only backup.

10. How long we keep it

• Enquiries that don't become bookings — kept for a reasonable period, then deleted
• Client and booking records — kept for as long as needed to provide the service and to meet tax and accounting obligations
• Delivered media — Vivah Circle members retain lifetime cloud access as part of their membership; other archives are kept in line with the timeline stated in your proposal
• Raw and unedited footage — retained for a limited period after delivery, then cleared to make space, unless you have asked us in writing to keep it

If you ask us to delete your data, we will do so except where we are required to retain records by law.

11. Your rights

Subject to applicable Indian law, including the Digital Personal Data Protection Act, 2023, you have the right to:

• Access — ask what personal information we hold about you
• Correction — have inaccurate or incomplete information corrected
• Erasure — ask us to delete your personal information, where we are not required to keep it
• Withdraw consent — including consent to portfolio use of your photographs or to marketing messages
• Grievance redressal — raise a complaint with us and receive a response
• Nominate — nominate another person to exercise your rights in the event of death or incapacity

To exercise any of these, email us at hello@vivahstudio.in or use the details in section 15. We will respond within a reasonable period. If you are not satisfied with our response, you may escalate to the relevant data protection authority in India.

12. Children

Our services are booked by adults. Children naturally appear in wedding and family photography, and we photograph them as part of the event you have engaged us for, with the consent of the parents or guardians present.

We do not knowingly collect personal information directly from children through this website, and we do not use images of children in our portfolio or marketing without explicit permission from a parent or guardian.

13. Third-party links

Our website links to third-party services including WhatsApp, Instagram, Facebook, YouTube, Google Maps and the Vivah App platform. We are not responsible for the privacy practices or content of these services. Please review their own privacy policies before providing them with personal information.

14. Changes to this policy

We may update this policy from time to time to reflect changes in our services or in the law. The "last updated" date at the top of this page always shows the current version. Where changes are significant, we will make reasonable efforts to notify active clients directly.
